Documents for Italy: apostille, translation, validity
A Russian or Belarusian document works in Italy after an apostille on the original and a translation certified by the consulate or sworn in Italy.
Author: permesso.love editorial team- updated - how we verify
Short answer: a Russian or Belarusian document works in Italy after two steps. First, an apostille on the original in the issuing country: Italy, Russia and Belarus are parties to the 1961 Hague Convention, so the document itself needs no consular legalization. Second, a translation into Italian certified by the Italian consulate or made by an official translator (art. 33 DPR 445/2000): in practice either a consulate-accredited translator or a sworn translation once in Italy. The rest is about which papers your purpose requires and how fresh they must be. Below: a table by document, the two translation routes with fees, the Italian names of civil-status documents, and the articles in this section. This is not legal advice: the actual lists are set by the specific consulate, questura or comune.
In brief: community data
From the chats up to June 2026 (672,000 messages, 2022-2026):
- The apostille is discussed more than any other document: 2,042 messages; then the passport (1,337), power of attorney (1,179), legalization (1,171), degree (804), birth certificate (707), criminal record certificate (505), marriage certificate (263).
- The criminal record certificate doubled in visibility: 98 mentions in 2023 against 174 in 2025 on a smaller overall message flow - roughly 5 per 10,000 messages against 11; 75 already in the first half of 2026.
- Translation questions are rising: sworn and accredited translation - 109 mentions in all of 2025 and 86 in January-June 2026 alone.
- Freshness gets checked: in 2026 members reported that the comune of Milan (February) and Rome (April) asked for a birth certificate issued within the last 6 months for a wedding, and ordered a duplicate from the Russian civil registry.
- An apostilled copy of a degree is refused: in March 2026 an apostilled notarized copy was not accepted by an Italian education office - the apostille goes on the original.
Which documents do you need to move to Italy, and what do you do with each?
The "apostille" column is for Russia; for Belarus, Ukraine and Kazakhstan the issuing offices are listed in the legalization matrix by country. The Italian consulate in Moscow lists what takes an apostille: civil-status records (birth, marriage, divorce, change of name), police certificates, degrees, notarial acts, certificates from ministries and pension bodies, land-registry (EGRN) extracts and documents from the Gosuslugi portal.
| Document | Where Italy needs it | Apostille | Translation | Freshness | Guide |
|---|---|---|---|---|---|
| Passport | D visa, permesso KIT, bank, everything else | not needed | not needed | its own expiry, watch it early | second Russian passport, stolen passport |
| Criminal record certificate | some D visas per the consulate list, citizenship | yes, Interior Ministry | yes | up to 6 months in practice | police clearance |
| Birth certificate | family reunification with children, marriage in Italy, citizenship | yes, civil registry | yes | for a wedding in 2026, no older than 6 months | marriage in Italy |
| Marriage certificate | reunification or coesione of spouses, citizenship by marriage | yes, civil registry | yes | when in doubt, a fresh duplicate | family reunification, citizenship by marriage |
| Divorce or change-of-name certificate | a new marriage, citizenship, different surnames across documents | yes, civil registry | yes | as for the marriage certificate | divorce in Italy |
| Degree with transcript | dichiarazione di valore, study, professional recognition | yes, on the original | every page and the apostille itself | indefinite | degree recognition |
| Power of attorney | a representative in Russia or in Italy | yes, Justice Ministry | yes | the term written in it | power of attorney for Russia |
| Income and pension statements, EGRN extract | means for a D visa, renewal | state-issued ones - yes; a bank statement is a private document | yes | recent statements for means | residenza elettiva requirements |
Two rules from the same consulate page that cost people the most time: the apostille comes before the translation, and the translation must include the text of the apostille itself. A translation done before the apostille has to be redone.
I requested a repeat birth certificate from the civil registry through a proxy, the apostille was added there, and I had the translation sworn here. I did not use the old booklet certificate: the comune looked at the issue date, and the new one settled the six-month question.
Where to translate: the Italian consulate or a sworn translator in Italy?
Both routes are lawful: art. 33 DPR 445/2000 requires a translation "certified by the consulate or by an official translator". Members in June 2026 summed it up the same way: for the comune and the questura it is either an accredited translator's translation certified at the consulate, or a sworn translation in Italy.
| Translation in Russia + Italian consulate | Sworn translation in Italy | |
|---|---|---|
| Who translates | an accredited translator from the consulate list | a translator who swears the translation (traduzione giurata, asseverazione) at a court or before a notary |
| Order | apostille on the original, translation including the apostille, Prenot@Mi appointment, legalization of the translation | apostille in the issuing country, bring the original to Italy, translate and swear here |
| Moscow consulate fee | EUR 13 per sheet of translation into Italian (tariff art. 72A), EUR 10 per sheet to certify a copy (art. 71) | no consular fee, the translator sets the price |
| Not accepted | translations certified by a notary | an unsworn translation |
| Handier when | you are still in Russia and Prenot@Mi has slots | you are already in Italy or there are no slots |
Separately: the Italian consulate in Moscow does not apostille Russian documents (Russian authorities do) or Italian ones - an Italian document for use in Russia is apostilled only in Italy. The full chain step by step, with the offices involved, is in document legalization; the tool helps pick the set for your case:
My package had motivation letters, explanatory notes and breakdowns of accounts - the translator simply translated those, no stamps. I only had certified what goes to an authority: the criminal record certificate and the civil-status records. I checked for my purpose in advance and did not pay for extras.
How long is a certificate valid?
For documents of Italian offices the term is set by art. 41 DPR 445/2000: certificates of facts that do not change (a birth, for example) are valid indefinitely, the rest 6 months from the date of issue unless a law allows longer. The article does not govern foreign documents directly, but offices often apply the same yardstick, especially to the criminal record certificate and to certificates for a wedding. So the order is: first learn the requirements of the specific office, then order the certificate, and only then the apostille and translation - otherwise the six months go on queues.
What are Russian documents called in Italian?
The most common questions are what a marriage certificate is called in Italy and where the "certificate number" is in an Italian document. Italian extracts of civil-status records come in two kinds (arts. 106 and 107 DPR 396/2000): by summary - reflecting every later annotation - and full copy - only on express request. An Italian document has no "certificate number": it cites the record details (estremi dell'atto) - number, part, series and year of the entry.
| Russian document | Italian name |
|---|---|
| Birth certificate | certificato di nascita; Italian extract - estratto per riassunto dell'atto di nascita |
| Marriage certificate | certificato di matrimonio; extract - estratto per riassunto dell'atto di matrimonio; full copy - estratto per copia integrale |
| Divorce certificate | certificato di divorzio |
| Change-of-name certificate | certificato di cambiamento di nome (cambiamento delle generalita) |
| Criminal record certificate | certificato penale; the Italian one - certificato del casellario giudiziale |
| Proof of registered address | certificato di residenza |
| Power of attorney | procura |
| Sworn translation | traduzione giurata (asseverata) |
Which papers are issued in Italy?
Some documents only appear once you are there: codice fiscale, residenza, certificates from the comune. For Italian offices a comune certificate is usually replaced by a self-declaration - autocertificazione under art. 46 DPR 445/2000. If an Italian paper is needed in Russia, the apostille is added in Italy and the translation into Russian is done separately.
A separate caveat on the attestato di residenza fiscale: the certificate is used to apply a double-taxation treaty. On 13 March 2026 Italy formally notified Russia that it suspends articles 5-23 and 25 of their treaty (a notice of the Italian Foreign Ministry in the Gazzetta Ufficiale No 69 of 24.03.2026, which does not give the date from which the suspension applies; published by the Moscow consulate on 15.09.2026). For income from Russia, check with a commercialista whether the certificate still helps.
The declarations signed by the host in Italy (ospitalita, garanzia) and an autocertificazione can be filled in with the forms builder:
The D visa package: what changes by purpose
The backbone of every D visa is the same: passport, photo, application form, insurance, housing and proof of means. Everything else depends on the purpose, and the full list is always published by the consulate or visa centre for your district. In the chats the most frequent reasons a package comes back are a housing booking instead of a lease or an invitation (short-let platform bookings are no longer accepted), a motivation letter only in Russian, and a translation made before the apostille. Route guides:
- Lavoro autonomo: the steps - preliminary authorization, chamber-of-commerce parameters, income.
- Residenza elettiva requirements - passive income and housing.
- Student permit - DDV, Universitaly and means.
- Family reunification - civil-status records and idoneita alloggiativa.
Choose where to apply based on where you can actually get an appointment: availability varies a lot. And remember the term of the preliminary authorization - three months go fast if the consulate slot is far off.

Frequently asked questions
Which documents from Russia do I need to move to Italy?
Always a passport. Beyond that it depends on the purpose: most D visas need proof of means and housing, family routes need birth and marriage certificates, study and regulated work need the degree with its transcript, citizenship needs a criminal record certificate and a birth certificate. Russian and Belarusian civil-status records, police certificates and degrees first get an apostille and then a translation into Italian. This is not legal advice.
Do I need consular legalization if the document has an apostille?
No. Italy, Russia and Belarus are parties to the Hague Convention of 5 October 1961 (Russia and Belarus since 31 May 1992), so the document itself only needs an apostille. The Italian consulate certifies the translation, not the document, and says explicitly that this certification does not replace the apostille.
Where should the translation be done: in Russia or in Italy?
Both routes are lawful (art. 33 DPR 445/2000): a translation certified by the Italian consulate, or one by an official translator. In practice that means either a consulate-accredited translator plus legalization of the translation by Prenot@Mi appointment (EUR 13 per sheet at the Moscow consulate), or a sworn translation (traduzione giurata) once in Italy. The Italian consulate in Moscow does not accept translations certified by a notary.
How long is a certificate valid for Italy?
For Italian certificates the rule is art. 41 DPR 445/2000: facts that cannot change are valid indefinitely, everything else for 6 months from the date of issue. Offices often apply the same yardstick to foreign papers: in 2026 chat reports, the comune of Milan and of Rome asked for a birth certificate no older than 6 months for a wedding, so people ordered a fresh duplicate. Check with your office.
What is a marriage certificate called in Italian?
A Russian marriage certificate is translated as certificato di matrimonio. An Italian comune issues an extract of the record - estratto per riassunto dell'atto di matrimonio (reflecting later annotations) - or, on express request, a full copy - estratto per copia integrale. Instead of a certificate number, an Italian document cites the record details: number, part, series and year.
Can I apostille a notarized copy of my degree?
For Italian purposes, usually not. For the dichiarazione di valore the Italian consulate in Moscow asks for the original degree with the apostille of the regional education authority; in a March 2026 chat report an apostilled notarized copy of a degree was rejected. This is not legal advice.
